Choosing Between Lite and Thorough Cleanup

Applies to: Word 2003, Word 2007, DocXtools

Beneath the Cleanup drop-down menu on DocXtools' Expert toolbar, you'll find three pre-configured cleanup options: Scanned Cleanup, Lite Touch-Up and Thorough Cleanup. While Scanned Cleanup clearly indicates its purpose, the choice between Lite and Thorough cleanup often leaves users asking: "What's the difference? When would I use each tool?" This tip explains both!

Lite Touch-Up

Use Lite Touch-Up when you want to preserve the document's overall look and feel, yet ensure proper paragraph formation (e.g. "SpaceAfter" and proper indents) and complete pagination control. It's great as a preparation step for pasting formatted content from one document to another, or to "normalize" a document before sending it to a client.

Choose Lite Touch-up to:

  • Perform cleanup of empty and/or tabbed paragraphs
  • Remove all applied and defined styles
  • Change compatibility to match your version of Word
  • Remove pagination controls from all paragraphs, tables

Thorough Cleanup

Use Thorough Cleanup when you want to change the document's overall look and feel – including removal of all section properties – thus aligning it more closely to your firm's standards.

Choose Thorough Cleanup to:

  • Perform cleanup of empty or tabbed paragraphs
  • Remove all applied and defined styles
  • Ensure the document's compatibility with your version of Word
  • Remove pagination controls from all paragraphs and tables
  • Eliminate all section breaks and header/footer content
  • Convert any field code numbering to text
  • Remove any bookmarks in the document
  • Update the document with firm style collection and default font

Toolbar customization

One common toolbar customization performed by the Microsystems Client Services team is to configure the "one-click" cleanup tools (e.g. Lite, Thorough, Scanned, Repurpose) beneath the Do It Yourself Cleanup dialogue. Here, the user will find each discrete routine that is run, thus informing them of what each feature performs – but also giving them the ability to option out of routines they may not want executed.

As with all DocXtools toolbar items, the Lite and Thorough cleanup options are fully configurable: you can add procedures, remove procedures – even change the captions if you'd like.
